Administrative & Finance Coordinator – Leadership Austin [Part Time]

Location: Austin, TX (Hybrid)

Job Type: Part Time (20 hours/week)

Reports to: Chief Executive Officer

The Opportunity: Looking for a part-time role where your organizational, financial, and relationship-building skills make a real impact? As our Administrative & Finance Coordinator, you’ll keep our team running efficiently, manage bookkeeping, and support smooth operations and events. This role is ideal for someone who enjoys working with data, optimizing processes, and creating exceptional experiences—all while contributing to a mission that strengthens Central Texas leadership and enjoying a flexible schedule.




Key Responsibilities


Administration & Operations 

Keep the office running efficiently and provide general administrative support.

Coordinate logistics for events and trainings, from name tags and catering to program materials.

Maintain office and kitchen supplies, greet visitors, and manage mail and email communications.

Manage conference room use and office equipment, coordinating with IT providers.

Oversee vendor and service provider relationships to ensure quality, timely delivery, and cost-effective solutions.

Manage calendars, appointments, and meetings with care and precision.

Supports correspondence including reminders, thank-you notes, and evaluations.

Assist with research, reporting, and data compilation as needed.


Bookkeeping & Finance Coordination

Handle full-cycle bookkeeping, including accounts receivable (A/R), accounts payable (A/P), and payroll.

Maintain organized, accurate financial records.

Monitor QuickBooks, issue statements, and prepare bank deposits.

Perform bank, credit card, and budget reconciliations in coordination with the team.

Prepare documentation for external accountants and ensure compliance with deadlines (e.g. 990 filing, tax, and grant reporting).

Maintain inventory of equipment and organizational assets, including oversight of access controls to ensure security and proper use.

Support reporting for the Board Dashboard and liaise with the Board Treasurer and Finance Committee as needed.

Perform other duties as assigned to support smooth organizational operations.

Minimum Qualifications (Required): 

Bookkeeping experience.

Proficient in Microsoft Suite products (i.e., Word, Excel, PowerPoint).

Proficient in Google Workspace products (i.e., Gmail, Sheets, Slides, etc.).

Strong organizational skills with the ability to manage multiple tasks and deadlines.

Self-starter who requires minimal oversight and demonstrates accountability and follow-through.

Excellent interpersonal and communication skills, both written and verbal.

Demonstrates integrity, discretion, and sound judgment when handling sensitive or confidential information.

Experience managing calendars, scheduling, and coordinating meetings or events.

Ability to work collaboratively as part of a team and independently when needed.


Preferred Qualifications (Not Required): 

3 years QuickBooks experience.

Previous nonprofit and/or event support experience.

Experience in a nonprofit, such as event coordination and office management.

Knowledge of expense management platforms (e.g., Ramp) and annual budget process.

Ability to liaise effectively with leadership, board members, and external partners.

Leadership skills and a proactive, problem-solving mindset.

Compensation

$24-$27 per hour, commensurate with experience.

Training on Leadership Austin systems and processes will be provided.

Flexible hybrid schedule: remote work on Mondays and Fridays, in-office hours Tuesday-Thursday.

Occasional evenings or events outside standard working hours may be required.
